Working closely with three Executive Assistants, you will play a key role in keeping the office running smoothly and ensuring the wider team is supported day-to-day. Your ability to stay organised, proactive, and one step ahead will be highly valued. This role offers variety, exposure to senior leadership, and the chance to become an integral part of a high-performing team. Location: This role will be split across two office locations, 2 days in the CBD and 3 days in the Western Suburbs, so flexibility and adaptability are key. The Role As the face of the business, you will create a welcoming and professional environment while supporting the wider administration team with day-to-day coordination. Key responsibilities will include: Greet clients and visitors to the office in a professional and friendly manner. Manage and direct switchboard calls as well and answering all general telephone enquiries. Ensure reception area, kitchens, meeting rooms and storage room are kept tidy, clean and well presented. Management and organisation of the boardroom, including booking, setup before meetings, and maintenance of IT equipment. Oversee and maintain all other meeting rooms, ensuring they are properly set up, clean, and that IT equipment is functioning correctly. Learn to operate all AV equipment to assist employees and during meetings. Collect and process incoming and outgoing mail and couriers as required. Responsibility and management of Admin email address and answering of all general email enquiries in a professional manner. Order & manage stock and complete stock take for office supplies (kitchens, office stationery, printers, toners etc) Ensure kitchen areas on Levels 3 and 4 are cleaned daily and remain well-maintained, with all supplies regularly stocked and replenished. Order Officeworks supplies for site teams, ensuring the approved ordering and approval process is followed. Update and distribute internal contact lists and floor maps. Manage and monitor employee seating and hot desks to ensure teams are allocated in line with the approved floor plan, and that all desks and equipment are maintained in good condition. Managing our nominated cleaner to their daily tasks to ensure our offices are always clean and tidy. Managing uniform stock take, uniform orders, and uniform tidiness in the storeroom in collaboration and direction from the People & Culture Team or Direct Manager. Welcome new employees to the company and walk them through the office and amenities as part of the onboarding process. Onboarding of new starters, including arranging desk space and handover of assets. Arrange and assist with catering for meetings and events as required. Assist Executive Assistants and other Senior Executives where required. Coordinate and book domestic and international flights, accommodation, and handle all travel-related enquiries for the business.
